purpose

This policy outlines how The Water Affect manages session cancellations, make-up sessions, and short-notice cancellations to support both participant flexibility and the ongoing sustainability of services.

Policy Statement

The Water Affect understands that illness, unexpected events, and family circumstances may impact attendance.

To balance flexibility with service continuity, make-up sessions may be offered where possible and subject to availability.

Providing adequate notice of cancellation supports The Water Affect to offer the allocated session time to another participant where appropriate.

Make-Up Sessions

  • Providing at least seven (7) days’ notice of cancellation guarantees eligibility for a make-up session, subject to availability and term limits

  • Cancellations made with less than seven (7) days’ notice may not be eligible for a make-up session; however, The Water Affect will endeavour to accommodate where possible

  • Make-up sessions are not guaranteed and remain subject to availability at all times

Additional Conditions

The following conditions apply:

  • A maximum of two (2) make-up sessions may be offered per term

  • All make-up sessions are subject to availability

  • Missed make-up sessions cannot be rescheduled

  • Make-up sessions are not redeemable for cash, credit, or refunds

  • Where appropriate, make-up sessions may be used to extend an existing session rather than attend a separate class

Discretionary Flexibility

In certain circumstances, The Water Affect may choose to offer a make-up session or waive cancellation requirements at its discretion, depending on individual circumstances.
